Cooking Your Way

Families are welcome to bring their own food and cooking equipment for campsite meals, with plenty of options to make mealtime easy and fun. For safety and convenience:

  • Dedicated BBQ Area: While open fires and BBQs are not allowed near tents or camping areas, we’ve created a designated BBQ zone in the campsite where families can safely use their own BBQs.
    • BBQs must be raised at least one foot off the ground.
    • Dispose of used BBQs in the provided bins once completely extinguished.
  • Camping Stoves: You can use small gas or kerosene camping stoves outside your tent, keeping them at least three meters away from flammable materials.
  • Wash-Up Stations: Conveniently located wash-up stations are available to help with cleanup after your meals.

For your safety, please follow these additional guidelines:

  • Do not cook inside your tent or awning.
  • Do not use fuel-burning appliances to heat your tent or awning.
  • Consider using a carbon monoxide alarm as an added precaution, but this should not replace other safety measures.
  • Knives with sharp or pointed blades up to three inches long may be used for cooking but are not allowed in any festival arenas.

No Open Fires Outside Designated Areas

For safety reasons, open flames and fire pits are not allowed in the camping areas. However, we’ll provide designated campfire zones where families can gather to enjoy marshmallow toasting, storytelling, and other supervised activities.

Keeping It Simple, Safe, and Magical at The Big Family Retrea

At The Big Family Retreat, we want your family to feel safe and carefree while exploring, playing, and creating magical memories. Here are some practical tips to help your weekend run smoothly:

  • Wristbands Are Key: Check every morning that your child’s wristband is securely on and that your phone number is visible (but avoid writing their name for safety).
  • Meet-Up Plans: Show your kids the Info Points and point out the friendly festival staff. Agree on a meeting spot in case anyone gets lost.
  • Teach Respect: Remind your kids to be mindful of other people’s space and belongings during activities—it helps keep the magic alive for everyone!
  • Hygiene Habits: Encourage frequent hand washing or sanitizing throughout the day to keep germs at bay.
  • Youth Independence: Older kids (12–17) thrive on a bit of freedom—set a curfew and meeting point for dinner (a favorite food truck works perfectly). They’ll love the independence while you stay reassured.
  • Know the Medical Tent: Familiarise yourself with its location for any minor scrapes. If an emergency arises, find the nearest staff member who can call for immediate medical assistance.
  • Fire-Free Zone: Keep everyone safe by avoiding fires or BBQs outside the dedicated areas, and always dispose of cigarettes safely in designated bins.

The Big Family Retreat is designed for exploration, joy, and connection. Here are some tried-and-true tips to ensure your family makes the most of it:

  1. Be Present: Don’t forget to enjoy the fun yourself—this weekend is for everyone, not just the kids!
  2. Unplug Together: Put away the screens and let the festival’s natural beauty and creativity fill your days.
  3. Flexible Bedtimes: Bedtimes may slip this weekend, but don’t worry—the campsite is generally quiet by 10:30 PM for a good night’s rest.
  4. Keep Essentials Handy: Bring along snacks, water, and hand gel during the day. In the evening, create a cozy "base" near the stages where the kids can relax while you enjoy the entertainment.
  5. Make Connections: Chat with other families—everyone is here for the same reasons, and leaving with new friends is one of the most magical parts of the experience. Join one of our online groups before you arrive
  6. Beat the Queues: Use off-peak times for showers or meals to minimise wait times and maximise fun.
  7. Weather-Ready: Be prepared for sunshine or rain—dress for comfort, not just style, to stay happy in any weather.
  8. Celebrate the Rain: If it rains, embrace the adventure! With plenty of sheltered activities, the fun never stops.
  9. Drop-Into Discovery: Take advantage of drop-in activities to keep the kids engaged and explore the festival at your own pace.
  10. Soak in the Scenery: Don’t forget to pause and appreciate the natural beauty surrounding you—from ancient trees to rolling hills, it’s all part of the magic.

Arrival Made Easy: Top Tips for a Stress-Free Start

We know the first day of any festival can feel a bit overwhelming, especially when you’re arriving with the whole family in tow. That’s why we’ve gathered these simple tips to make your arrival at The Big Family Retreat as smooth and enjoyable as possible.

Plan Ahead for a Calm Arrival

  • Pack Smart: Organize your gear into categories (e.g., camping equipment, food, clothes) to make unpacking quick and easy when you arrive.
  • Arrival Time: Aim to arrive early in the afternoon to avoid feeling rushed and have plenty of time to settle in. Gates open at 12:00 PM, so beat the late crowd by arriving sooner.
  • Know Your Zone: Check your camping allocation and have your confirmation ready to streamline check-in.
  • Ask for Help: Our friendly Check-In Team will be on hand to direct you to your pitch, answer any questions, and provide assistance if needed.

Getting from the Car Park to Your Campsite

  • Shuttle Bus Service: Hop on our shuttle bus for a quick and easy ride from the car park to the campsite, making your arrival as smooth as possible.
  • Wheelbarrows Available: Prefer to take a short walk? Grab one of our wheelbarrows to help carry your gear to your pitch with ease.

Unpacking Tips

  • Use a Trolley or Cart: If you’ve got lots of gear, a trolley or wheelbarrow is your best friend for carrying everything in one go.
  • Set Up in Steps: Start with your essentials, like the tent and sleeping arrangements, then add extras like seating and cooking gear once you’re settled.
  • Keep Snacks Handy: Have a few easy snacks ready to keep the kids happy and energized while you unpack and set up.

Facilities to Make Life Easier

We’ve thought of the little things to make your stay as comfortable as possible:

  • Posh Showers and Toilets: All campers have access to high-quality facilities, including baby changing stationsfor the little ones.
  • Pamper Stations: Need a moment to freshen up? Visit the pamper stations, where you’ll find mirrors and space to get ready for the day ahead.
  • Wash-Up Stations: Convenient areas for cleaning your cooking gear or filling water bottles are easily accessible.

Get Your Bearings

Once you’re settled, take a little time to explore:

  • Visit the Info Point: Find the central hub where you can grab a map, check out the schedule, and locate key areas like toilets, wash-up stations, and food vendors.
  • Familiarise the Kids: Show your children the Info Point and introduce them to the festival staff in case they need help during the weekend.
  • Scout the Layout: Walk around the campsite and nearby areas to identify your nearest toilets, water points, and handwashing stations.

Ease into the Fun

  • Start Simple: Once you’re settled, head to the Free-Flow Festival Area to let the kids burn off some energy while you relax. Activities like inflatables, play zones, and family games are a great way to ease into the weekend.
  • Keep Hydrated: Stop by one of the water stations to refill your bottles and stay refreshed after the drive.
  • Don’t Rush: The first day is all about finding your rhythm—pace yourselves so you can truly enjoy the experience.

Capture the Moment

Before the weekend gets underway, take a family photo at your campsite. It’s a fun way to mark the start of your adventure and see how much fun (and mud!) you’ve experienced by the end of the festival.

Settle into the Magic

With everything unpacked, the kids exploring, and all the comforts you need close by, take a deep breath and soak in the atmosphere. The Check-In Team is always nearby if you need a hand. Welcome to The Big Family Retreat—your magical weekend is just beginning

Monday morning is the perfect time to take it slow after a weekend of excitement. Here are some tips to make packing up simple and stress-free:

  • Tackle Packing in Steps: Break the job into smaller tasks, taking snack or coffee breaks in between. It makes the process more manageable (and a little more fun).
  • Tent Down Last: Save your tent for last—keeping it up provides shelter if the weather turns. If you brought a trolley, make it your final load to ease the last trip to the car.
  • Porter Service: Need a hand? Our helpful Porter Team is available Monday morning to assist with heavier items.
  • Family Photos: Before you leave, snap a group photo and compare it to your arrival pic—it’s a fun way to remember your adventure!
  • Drive Safely: If you enjoyed a Sunday night drink, ensure you’re safe to drive before setting off.
  • Say Goodbye: Let the kids say farewell to their new friends and swap contact details to keep in touch. Don’t forget to collect your group photo as a festival keepsake!
